Privacy Policy

1. Controller and scope

S S Builders London Ltd, trading as SS Builders Group, of Chadwell Heath, RM6 ("we", "us", "our") is the controller of the personal data described in this policy. It covers data collected through this website (www.ssbuildersgroup.co.uk), by phone, by WhatsApp, by email, and in the course of quoting for and carrying out building work.

This policy is drafted under the UK General Data Protection Regulation and the Data Protection Act 2018. It should be read alongside our Cookies Policy, which covers what this website stores on your device.

2. What we collect, and where it comes from

Enquiry data — when you use the quote form, call, or message us: your name, phone number, email address, property postcode, the borough, the service you are asking about, property type, timescale, budget indications you choose to give, how you heard about us, and the description of the job you provide. All of it comes from you.

Project data — if you engage us: your address, correspondence, survey notes and measurements, drawings, structural calculations, quotations and variations, invoices and payment records, photographs of the works at each stage (used for project tracking and our records), certificates, and details needed for statutory notices such as those under the Party Wall etc. Act 1996 — which may include the names and addresses of adjoining owners, provided by you or the public register.

Technical data — the hosting infrastructure automatically logs IP addresses, requested pages, timestamps and browser user agents for security and capacity purposes. We do not use this to profile visitors.

We do not collect special category data, and we ask you not to include any in the free-text field of the quote form. We do not knowingly collect data from children; our services are contracted by adults.

3. Why we are allowed to process it (lawful bases)

Responding to your enquiry and preparing a quotation: Article 6(1)(b) UK GDPR — steps taken at your request before entering a contract.

Carrying out building work you have engaged us for, including correspondence, project tracking and variations: Article 6(1)(b) — performance of a contract.

Keeping records after a project — certificates, invoices, photographs of completed stages, warranty and insurance records: Article 6(1)(c) where retention is a legal obligation (tax, building regulations), and Article 6(1)(f) — our legitimate interest in defending claims and honouring guarantees — for the remainder.

Serving statutory notices and dealing with local authorities on your behalf: Article 6(1)(c) and (f), depending on the notice.

Following up an enquiry that did not become a job: Article 6(1)(f) — our legitimate interest in continuing a conversation you started. You can object at any time and we will stop.

We do not use your data for automated decision-making or profiling, and we do not sell it — to anyone, ever.

4. Who receives your data

Email delivery: enquiry emails and confirmations are delivered through Resend (Resend, Inc.), our email service provider, acting as our processor.

Hosting: this website and its enquiry endpoint run on hosting infrastructure provided by our hosting provider, acting as our processor, with technical logs as described above.

Professionals engaged on your project where the work requires it: structural engineers, party wall surveyors, building control bodies (local authority or approved inspector), scaffolding and skip licensing departments of your borough, and warranty or certification schemes (for example for electrical or glazing certification). Each receives only what their role needs.

Our insurers, accountants and legal advisers where necessary for the running of the business, and public authorities where the law requires disclosure.

Some providers (for example our email service) may process data outside the UK. Where that happens, transfers rely on the UK's adequacy regulations or the provider's International Data Transfer Agreement / standard contractual clauses.

5. How long we keep it

Enquiries that do not become projects: up to 24 months from last contact, so the conversation can resume if you come back — then deleted.

Project records, including stage photographs, certificates and correspondence: for the duration of the works and then for as long as our legal and insurance obligations require — typically 6 years from completion for contractual records, and up to 12 years where works are executed under deed or a structural warranty applies.

Financial records: 6 years plus the current year, as required by HMRC.

Photographs of completed work used in our marketing (such as the project stories on this website) do not identify you: we do not publish names, addresses, contract values or dates alongside them, and we do not publish photographs showing occupants or identifying possessions without express agreement.

6. Security

The website is served over HTTPS with a current TLS certificate. The enquiry endpoint validates input, rate-limits abuse, and holds its email credentials outside the web root with restricted permissions. Enquiry data is transmitted to us by email over the provider's encrypted channels, and business records are held in access-controlled accounts.

No internet service can promise absolute security; what we promise is proportionate measures, prompt honesty if anything ever goes wrong, and notification to the ICO and to you where the law requires it.

7. Your rights

You have the right to: access a copy of your personal data; have inaccurate data corrected; have data erased where there is no continuing basis to keep it; restrict processing while a dispute about it is resolved; object to processing based on legitimate interests, including any follow-up contact; and receive data you provided to us in a portable format.

To exercise any of these, contact us by phone or in writing using the details below. We will respond within one month. We do not charge for a first request, and we will ask for enough information to be sure we are talking to the right person before releasing anything.

If you are unhappy with our answer, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113). We would appreciate the chance to resolve it first, but that is your choice, not a condition.
